A digital proof takes days; a physical sample takes weeks; a full production run with shipping can take months. Understanding each stage helps you plan a launch or reorder date realistically, and spot where a timeline is being padded or rushed. Here’s what to expect at each stage, from first quote to delivered goods.
Stage 1: Quote and Digital Proof (Typically 1–3 Days)
Once you’ve sent specifications and artwork, most suppliers can turn around a price quote and a digital mockup (a rendered proof, not a physical sample) within a few business days. This stage is where dimensions, structure, and print layout get confirmed before any physical material is touched — it’s worth spending extra time here reviewing the digital proof carefully, since errors caught now are free to fix and errors caught later are not.
Stage 2: Physical Pre-Production Sample (Typically 5–10 Days)
A physical sample — sometimes called a white sample or pre-production sample — is produced using the actual materials, print process and finishes specified for your order. This is the only way to properly evaluate color accuracy, material feel, structural fit and finish quality before committing to a production run. Stage 3: Sample Revisions
It’s rare for a first sample to be approved without any changes — color adjustments, structural tweaks, or finish corrections are normal. Each revision round typically adds another 5–10 days plus shipping. Brands that want to compress this stage should be as specific as possible in the first round of feedback (exact Pantone reference, precise dimension changes) rather than iterating in small steps, since each additional round adds real time to the overall schedule.
Stage 4: Mass Production (Typically 15–30 Days)
Once the sample is approved, mass production begins. Timeline here depends heavily on order volume, structural complexity, and whether new tooling (die-cutting molds, insert tooling) needs to be built versus reused from a prior order. Stage 5: Pre-Shipment Inspection
Before goods leave the factory, a final inspection checks the finished, packed order against the approved sample and specification. This typically adds a few days to the schedule but is the last opportunity to catch problems before goods are en route, when correction becomes far more expensive.
Stage 6: Shipping
Sea freight from China to the EU, UK or US typically takes 25–45 days door to door depending on destination and port congestion, while air freight takes 5–10 days at a significantly higher cost per unit. Most brands use sea freight for planned inventory and reserve air freight for urgent top-ups or a first order where launch timing is critical. Realistic Total Timeline
For a first-time order with new tooling and one or two sample revision rounds, a realistic total timeline from initial quote to goods arriving by sea freight is commonly 8–12 weeks. Reorders using existing tooling and an already-approved design can move significantly faster, often landing in the 4–6 week range since the sampling and tooling stages are skipped or shortened. Any quote promising a fully custom first order with new tooling in two to three weeks total is worth double-checking closely — either a step is being skipped, or the timeline doesn’t account for shipping.
